The RFI/RFP Specialist will provide support in the preparation and management of proposals, customer questionnaires (RFI), evaluations, and other related due diligence and compliance requirements. This position supports the global LifeScience division, ensuring accurate and strategic responses to customer requests while maintaining consistency and alignment with company objectives. This role requires collaboration across different internal departments to ensure that all responses meet client expectations and compliance standards.

The RFP/RFI Specialist plays a critical role in the development and growth of the company, it is a strategic growth engine. This function drives revenue, opens new markets, builds operational excellence, and positions the company as a serious, capable competitor.

Job Purpose:

Proposal Preparation and Management (RFPs):

  • Assist in the preparation, writing, and structuring of proposals for clients, ensuring that all requested requirements are addressed and the information presented is clear and complete.

  • Ensure that responses align with the company’s strategic goals and operational capabilities, contributing to the success of the bidding process.

Customer Questionnaire Management (RFI’s):

  • Support the completion and response of customer questionnaires efficiently, ensuring all data is well-documented and up-to-date.

  • Handle various types of questionnaires, including:

    1. General RFIs and RFP-specific RFIs

    2. Vendor Qualifications and Re-evaluations

    3. Quality Assessments

    4. Data Privacy Questionnaires or compliance with regulations (e.g., GDPR)

    5. HT-ABAC Compliance Questionnaires

    6. Other Compliance and Due Diligence Questionnaires

  • Ensure that responses are strategically aligned with client expectations and the company’s positioning.

Due Diligence Support and Information Preparation:

  • Support the collection and organization of necessary documentation for due diligence processes, such as financial backgrounds, internal audits, and other required assessments.

  • Assist in preparing documentation for client audits and third-party evaluations, ensuring thoroughness and accuracy.

Cross-Department Coordination:

  • Collaborate with internal teams (Sales, Operations, Legal, Quality, IT, etc.) to ensure the information collected and provided is accurate, complete, and meets client standards.

Tracking Deadlines, Deliverables, and Customer Requests:

  • Ensure that all responses to client requests are delivered within the established deadlines.

  • Maintain a comprehensive record of client requests, ensuring there is an accessible history of all orders and inquiries.

  • Monitor and track the progress of each request, ensuring that all requirements are met and documented.

  • Generate performance metrics to assess response times and identify areas for process improvement.

  • Use the tracking system to provide visibility into the status of ongoing requests and ensure timely follow-up on outstanding items.

Repository Development and Maintenance:

  • Create and maintain a well-organized repository of relevant information for proposals and questionnaires, ensuring easy access and continuous updates for future requirements

Qualifications & Skills Required:

  • Bachelor’s degree in business administration, Life Sciences, Logistics, Marketing, or related field.

  • 3+ years of proposal management, RFIs, or client assessment is required.

  • Proven ability to assist with complex proposals and customer questionnaires in a structured and efficient manner.

  • Ability to understand strategic objectives and contribute to aligning responses with company goals.

  • Ability to manage multiple projects simultaneously while meeting deadlines and ensuring high-quality output.

  • Exceptional organizational skills and attention to detail.

  • Strong written and verbal communication skills; able to articulate complex information clearly and professionally.

  • Excellent interpersonal skills, with the ability to collaborate across cross-functional teams.

  • Knowledge of Life Sciences services or logistics is preferred.

  • Proficient in the use of standard office software (e.g., Microsoft Office, Excel, PowerPoint, etc)

  • Native-level English or equivalent proficiency.

  • Advanced Spanish proficiency.

  • Adaptability and Problem-Solving Skills.

  • Strategic thinking and customer focus.
