The Cargo Dispatcher coordinates the daily movement of drivers and cargo to ensure shipments are delivered safely, on time, and in compliance with applicable requirements. This position serves as the main point of contact for drivers, airport personnel, clients, and internal teams.

The ideal candidate is organized, proactive, and comfortable solving problems in a fast-paced environment. Because this is a hands-on role, the Dispatcher must also be prepared to cover routes and operate 16–26 ft. cargo trucks when additional support is needed.

Key Responsibilities

  • Schedule and dispatch drivers for pickups, deliveries, airport operations, and special assignments.

  • Monitor driver locations, routes, shipment progress, delivery windows, delays, and airline cut-off times.

  • Maintain continuous communication with drivers, airport personnel, clients, warehouse teams, and internal departments.

  • Proactively communicate shipment updates, delays, changes, and service issues.

  • Develop contingency plans for driver absences, vehicle breakdowns, weather events, and other disruptions.

  • Maintain accurate shipment, driver, vehicle, incident, and compliance records in Excel, SAP, and other tracking systems.

  • Coordinate airport cargo retrievals, airline drop-offs, documentation, and shipment tracking.

  • Inspect incoming cargo and immediately report damage, delays, loading issues, or compliance concerns.

  • Ensure compliance with TSA, airport, transportation, safety, cold-chain, and company requirements.

  • Support life-sciences and temperature-controlled shipments, including packaging, labeling, re-icing, and documentation in accordance with SOPs.

  • Monitor vehicle availability, cleanliness, safety, and operational readiness.

  • Provide driving coverage when needed, safely operating cargo vehicles ranging from 16 to 26 feet.

  • Assist with loading and unloading shipments, including items weighing more than 50 pounds, using appropriate safety procedures.

Qualifications and Skills

  • Previous experience in dispatching, transportation, logistics, airport cargo, or a related field.

  • Strong organizational, communication, customer-service, and problem-solving skills.

  • Ability to manage multiple drivers, routes, and time-sensitive shipments simultaneously.

  • Ability to remain calm and make sound decisions under pressure.

  • Proactive approach to communication, follow-up, and issue resolution.

  • Comfortable using Microsoft Excel, GPS systems, and shipment-tracking platforms.

  • Experience with SAP is preferred.

  • Experience with airport cargo, life-sciences logistics, or cold-chain shipments is a plus.

  • Valid driver’s license and ability to safely operate 16–26 ft. cargo vehicles.

  • Ability to safely lift, move, load, and unload items weighing more than 50 pounds.

  • Flexibility to work outside standard business hours when required.

Work Environment

This position is primarily based in a dispatch or operations control room and requires frequent communication with drivers and operational teams. Occasional travel to airports, client locations, or other sites may be required.

If you are organized, proactive, and enjoy keeping people and shipments moving, we would be happy to hear from you.
